This policy is written for the way the Swara Digital website currently works. It does not claim that the website uses analytics, advertising cookies, payment collection or database storage when those features are not present.
1. Introduction and scope
This Privacy Policy explains how personal information is handled when you visit swaradigitalagency.com, submit a business enquiry, or communicate with Swara Digital about a potential or active project. It applies to this website and to related enquiry communications, but not to third-party services governed by their own policies.
2. Who operates the website
Swara Digital is a digital services brand operated by Swara Events and Planners LLP. References to “Swara Digital”, “we”, “us” or “our” in this policy refer to that operator in connection with the website and Swara Digital services.
3. Information we collect
We collect only information relevant to operating the website, responding to enquiries, assessing or delivering requested services, maintaining business records and meeting legal obligations. This may include information you enter in the contact form, information you share during direct communications, and limited technical request information processed by website infrastructure.
4. Information provided through contact forms
The contact form asks for your name, optional business name, phone number, optional email address, required service and project details. Name, phone number, service and project details are required. The website uses these fields to prepare a WhatsApp message; it does not submit the form to a Swara Digital website database.
5. Business enquiry information
If you continue an enquiry by WhatsApp, telephone or email, you may provide additional business information such as your role, objectives, preferred timeline, existing digital presence, content, account access needs or proposal requirements. We use this information only as reasonably necessary to understand and respond to the enquiry or provide agreed services.
6. Technical and usage information
Vercel, which provides hosting and delivery infrastructure for the website, may process limited request and security information such as an IP address, request time, requested URL, browser or device information, referring page and diagnostic events. The current website does not install Vercel Analytics, Google Analytics, advertising pixels or behavioural analytics tools.
8. How information is collected
Information is collected directly when you type it into the form or contact us, automatically when hosting infrastructure receives a website request, and through communication services you choose to use. We do not purchase personal-data lists or collect information from data brokers through this website.
9. Purposes for which information is used
We may use relevant information to respond to enquiries; arrange calls; understand project requirements; prepare proposals and scopes; deliver, support and improve contracted services; manage approvals, billing and business records; prevent misuse; secure the website; resolve disputes; and comply with applicable law. We do not use contact-form information for unrelated automated decision-making.
10. Consent and other lawful processing
Depending on the circumstances and applicable law, processing may be based on your consent or voluntary request, steps taken at your request before a contract, performance of a contract, compliance with legal obligations, or other uses permitted by law. Where processing depends on consent, you may withdraw that consent, subject to processing already carried out and information that must lawfully be retained.
11. Communication through email, phone and WhatsApp
We use the contact details you provide to answer your enquiry and communicate about relevant proposals or services. Selecting the form button opens WhatsApp with a prepared message; you decide whether to send it. WhatsApp is operated by Meta and your use of it is governed by WhatsApp’s own terms and privacy policy. Telephone and email communications are also handled through the relevant telecommunications and email providers.
12. Marketing communications and withdrawal of consent
Submitting a service enquiry does not enrol you in an automated marketing list. If we separately offer promotional communications, we will seek any consent required by law and provide a practical way to opt out. You may ask us to stop promotional follow-ups at any time by replying to the communication or contacting the Privacy and Grievance Contact.
13. Disclosure to service providers
We do not sell or rent personal data. We may allow trusted providers to process limited information where needed for hosting, communications, security, professional support or delivery of contracted services. Providers should receive only information reasonably necessary for their role and are expected to handle it under applicable obligations and their contractual or published terms.
14. Hosting, analytics, form processing and communication providers
The website is hosted through Vercel. The website currently has no application database, third-party form processor or analytics package. The contact form prepares a link to WhatsApp instead of transmitting data to a website backend. WhatsApp and Meta process information when you choose to use their service. Provider arrangements may change as the website develops; material changes will be reflected in this policy.
15. Third-party websites and social-media platforms
The website links to WhatsApp, Facebook and Instagram and may link to client or platform websites. Following an external link takes you to a service controlled by another organisation. We do not control that organisation’s privacy practices, content, availability or cookies, so you should review its policies before providing information.
16. International or cross-border data processing
Some infrastructure or communication providers may operate systems, support teams or processing locations outside India. As a result, limited information may be processed across borders subject to the provider’s arrangements and applicable Indian law. We do not represent that every third-party system is located in India.
17. Data retention
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, project and contractual duties, record-keeping, dispute resolution, security, or legal compliance. Enquiry information that does not progress may be deleted or de-identified when it is no longer reasonably needed. We do not promise one fixed deletion period for every category because relevant obligations and circumstances differ.
18. Data security
We use reasonable administrative and technical safeguards appropriate to the nature of the information and the services involved. These may include restricted access, reputable service providers, secure connections and device or account controls. No website, internet transmission, communication service or storage system can be guaranteed to be completely secure.
19. Personal-data breach handling
If we become aware of a personal-data breach affecting information under our control, we will take reasonable steps to assess and contain it, preserve relevant records, reduce harm and coordinate with providers. We will notify affected individuals or the relevant authority where and when required by applicable law.
20. Rights of Data Principals
Subject to applicable Indian data-protection law, its commencement provisions, available exemptions and verification of the request, you may have rights to receive information about processing, access a summary of personal data and processing activities, request correction, completion or updating, seek erasure where legally applicable, withdraw consent, use grievance redressal, nominate another individual where applicable, and approach the relevant authority after using the grievance process where required.
21. Access, correction, completion, updating and erasure requests
You may contact us with enough information to identify the relevant communication and request a summary, correction, completion, update or legally applicable erasure. We may ask for reasonable verification and may retain information where required for a contract, legal obligation, security, record, defence of claims or another lawful purpose. We will explain material limitations where appropriate.
22. Withdrawal of consent
Where consent is the basis for processing, you may withdraw it by contacting us. Withdrawal does not invalidate processing already completed before withdrawal and may affect our ability to continue an enquiry or service that requires the information. We will stop consent-based processing that is no longer justified, subject to legal retention needs.
23. Grievance redressal
Please send a clear description of a privacy concern to hello@swaradigitalagency.com with any helpful dates or references. The Privacy and Grievance Contact will review the concern and respond within a reasonable period. Where applicable, you may approach the relevant statutory authority after first using the available grievance process.
24. Children’s privacy
Swara Digital’s services are intended for businesses and adults. The website is not intentionally directed at children, and we do not knowingly process a child’s personal data without the consent or authorisation legally required. A parent or guardian who believes a child’s information was provided accidentally should email hello@swaradigitalagency.com so the matter can be reviewed.
25. Business transfers and legal disclosures
Information may be disclosed where reasonably necessary for a reorganisation, merger, transfer of relevant business operations or professional due diligence, subject to appropriate confidentiality and applicable law. We may also preserve or disclose information to comply with law, respond to lawful process, protect rights or safety, investigate misuse or establish, exercise or defend legal claims.
26. Changes to the policy
We may update this policy to reflect changes in the website, service providers, business practices or law. The revised version will be posted on this page with a new “Last updated” date. Material changes will be communicated in another reasonable manner where required.
